Readable rules for a safer esports community.
Zone Esports Namibia is a voluntary esports community. These notices explain what Zone collects, what Zone will never ask for, how members should behave, and where responsibility is limited as far as legally allowed.
Never send passwords, OTPs, recovery codes, banking logins, or private platform credentials.
Zone roles, activities, lineups, and support are voluntary and subject to conduct and safety requirements.

What ZONE collects and why.
ZONE Esports Namibia is a Namibia-based voluntary gaming and esports community. ZONE management, led by the ZONE lead, is responsible for handling community application information and privacy or safeguarding requests. Contact officialzonesupport@gmail.com. This notice does not claim registered-company status.
The recruitment portal collects a verified email, preferred or gamer name, country, time zone, date of birth, chosen role, relevant game and platform details, availability and role-specific answers. Optional items are labelled. Date of birth routes guardian checks and supports age eligibility review; listing a game does not establish eligibility. Do not submit identity documents, passwords, bank details or sensitive personal history.
Requesting an email code creates account and delivery records even if you never save an application. After verification, a versioned privacy notice appears before the first draft can be saved. Continuing from a profile or answer step saves a private server draft before final submission. Closing the tab loses answers that have not been saved; signing out does not erase saved records. Acknowledging this notice records that it was shown, and is separate from optional news or media choices.
- We use required details to review the application, communicate about it, arrange appropriate next steps and protect participants. ZONE makes participation decisions through human review; the portal checks completeness and routes age requirements but does not automatically select people for a team.
- Applicants see their own records. Authorised ZONE reviewers use an additional authenticator check before reading submitted applications or changing review decisions. Review lists show limited information; opening a full record creates a limited access log. Drafts are not included in the reviewer application list. Restricted technical administrators may need access for support, security or recovery.
- Under-18 applicants first provide only a preferred name, role, age band and guardian contact. A separately verified guardian must give permission before a full new profile can be saved. Under-13 applications additionally require a recorded manual safeguarding check. Guardians see limited request context, not the applicant's full answers. Earlier records remain subject to review; consent is never backdated.
- Supabase hosts application and account records and verifies sign-in. The primary project database is in the EU (Ireland). Resend delivers sign-in and application messages; its stored email data is in the United States. Cloudflare hosts and protects the website. Providers and their subprocessors may process information in other countries. Earlier registrations remain in restricted Google records; support correspondence is held in the official support mailbox.
- General news is optional and unticked by default. Application and safety messages are separate. Media interest is optional and is not permission to publish a person's image; specific media permission, including guardian permission where needed, is handled separately. - Security and delivery systems may process IP addresses, browser/device information, request times, sign-in/session identifiers and delivery status to operate and protect the service. We record notice versions, guardian decisions, review actions and request outcomes so those actions can be checked.
Retention and deletion.
Application records are kept while needed for review, follow-up and participation. Our review schedule flags inactive drafts after 30 days, and declined or withdrawn applications after 90 days from closure. Guardian invitations expire after 14 days; unconfirmed requests are flagged after 30 days. Delivered message payloads are flagged after 30 days. These are review thresholds: scheduled automatic erasure is not yet enabled, and deletion is currently handled through reviewed requests. Specific safeguarding, dispute or recordkeeping holds may require limited information to be kept longer, with a reason and review date.
Active membership information requires a separate ongoing need and periodic review; recruitment details should not be kept indefinitely simply because an ID was issued. An issued ZONE ID stays reserved and is never reassigned. Removing contact mappings does not necessarily make all remaining identifiers anonymous. Account records, legacy Google records, support correspondence and provider copies are checked separately when handling deletion.
Resend currently describes 30-day email/log retention on its standard plans and seven-day backup retention. Supabase backup and log availability depends on the account plan and configuration; ZONE has not yet verified a production backup expiry or full restore. Other providers apply their own retention rules. We cannot promise immediate selective deletion from backups or recall an email already delivered to someone's mailbox. Relevant deletion records must be applied before a restored database returns to use.
Access, correction and complaints.
Use Privacy and my data after signing in, or email the official support address, to request access, correction, deletion, a guardian review or to raise a privacy complaint. The portal offers a download of your own application and notice acknowledgements. Request an access review for other records, including legacy records or staff notes where disclosure is appropriate. Do not send passwords, sign-in codes or identity documents with a request; we will agree a proportionate identity check if needed.
Withdrawing an application stops its review; it does not itself delete the record. A guardian can withdraw confirmed permission in the guardian portal, which stops the associated review and activity clearance. Any exception to a deletion request must be explained. ZONE aims to acknowledge requests within three working days and complete a response within 30 calendar days, subject to any shorter applicable legal deadline; these are operating targets, not a statement of the law applying to every applicant.
Enter a one-time sign-in code only on the official ZONE recruitment page when you requested it. Never send a code to staff or another person. Read the current archived collection notice. Provider information: Supabase privacy, Resend security and retention, Cloudflare privacy, Google privacy.
Cookies and browser storage
Storage and requests used by this website.
The main website stores its age/policy acknowledgement in the zoneEsportsConsent cookie (up to one year) and local or session storage. Theme, email-client preferences and optional local game progress are also stored on your device. The cookie settings button resets the website acknowledgement; it does not delete a portal account or application. Clear site data in your browser to remove local preferences and progress.
The recruitment portal uses tab session storage for its sign-in session. If browser storage is blocked it keeps the session in page memory. Sign out on shared devices. The portal uses Cloudflare Turnstile for abuse prevention; Cloudflare receives device, browser and network signals for that check. See the Turnstile privacy notice.
Interactive maps request map data from OpenFreeMap and may load the map library from unpkg or jsDelivr. Those providers receive ordinary network metadata such as your IP address and request information. No advertising or optional analytics tracker is configured in this site's source. External social platforms and other sites have their own storage and privacy rules when you open them.
Terms of Use
Participation is voluntary and reviewed.
Using this website or joining Zone does not automatically create employment, payment, representation, roster status, staff authority, sponsorship, or official membership. Roles are reviewed by Zone admins and may change based on conduct, availability, community needs, title support, safety, and external organizer requirements.
Zone currently presents itself as a Namibia-based voluntary gaming and esports community or association. This website does not claim that Zone is a registered company, charity, federation, professional league, government body, or national governing authority unless that status is formally confirmed.
- Use official channels for support, parent or guardian questions, reports, competition-entry questions, and partnership requests.
- Do not impersonate Zone, fake admin authority, publish false notices, or request account access from others.
- Do not submit malicious files, spam, scams, harassment, illegal content, or another person's private data.
- Zone may remove, restrict, or refuse participation where conduct creates safety, trust, legal, or operational risk.
Code of Conduct
Compete hard, protect the community.
Members, players, creators, volunteers, staff, and visitors are expected to act with respect, fair play, honesty, and basic professionalism. Zone does not accept harassment, hate speech, threats, doxxing, cheating, account theft, scam links, unsafe minor contact, or abuse of admin trust.
Reports can be reviewed by Zone admins. Outcomes may include warnings, content removal, removal from Zone activities or lineups, role changes, access restrictions, or referral to a parent, guardian, platform, organizer, or authority where needed.
Minor & Guardian Notice
Guardian permission comes before a full new child profile.
Applicants under 18 need a parent or legal guardian to respond using a separate verified email. Ask the guardian before entering their contact details. Email verification establishes control of a mailbox; it does not itself prove legal guardianship. ZONE may make proportionate additional checks, and applicants under 13 require a recorded manual check before continuing.
A guardian may decline or withdraw permission through the guardian portal. A resend cannot override a refusal. Contact officialzonesupport@gmail.com for corrections, disputed requests or safeguarding concerns. Permission to review an application is separate from permission for a game, event, private contact, media use, travel or contract. Applicable activity and platform age rules are checked separately.
Younger members should avoid private one-to-one communication with unknown adults and report unsafe contact. ZONE remains responsible for taking reasonable safeguarding and data-handling steps; inaccurate information or use of an external platform does not automatically remove those responsibilities.
Safety and responsibility
Reasonable care and a clear reporting route.
ZONE takes responsibility for operating its application process with appropriate access controls, limited collection and a response route for privacy or safeguarding concerns. No online service can guarantee uninterrupted availability or eliminate every security risk.
External platforms, organisers and users' devices have their own responsibilities and rules. Their involvement does not automatically remove ZONE's own obligations. Nothing in these notices excludes responsibility or rights that cannot lawfully be excluded. Report a suspected leak, fake administrator, unsafe contact or website problem to officialzonesupport@gmail.com; avoid including unnecessary personal information in the initial report.
Accessibility Statement
Readable, keyboard-friendly, and improving.
Zone aims for a website that works on mobile and desktop, supports keyboard navigation, uses readable contrast, and keeps important actions as real text links or buttons. If a page is difficult to read or use, report it to official support so it can be corrected.
